Overview

Self-hosted Budibase field-service app replacing paper job cards and a WhatsApp dispatcher workflow — enabling technicians to receive, update, and close work orders on mobile while dispatchers see live field status on desktop.

The challenge

With 180 technicians covering 420 client sites across Dubai and Sharjah, job cards were paper-based and collected weekly. A completed job card could sit in a technician's van for three days before being entered by an admin. Dispatchers coordinated entirely over WhatsApp, creating no audit trail. Invoice generation was delayed by up to 3.5 days from job completion.


The solution

Our approach

We built the app on Budibase's self-hosted community edition, using Budibase's progressive web app (PWA) capability to give technicians a mobile-first interface that works offline in basements and plant rooms. Dispatchers got a Budibase desktop app with an embedded Mapbox view showing live technician locations (via browser geolocation ping every 5 minutes) and a drag-and-drop job scheduler. We extended Budibase with a custom PDF generation action to produce job-completion reports that trigger invoice creation in the client's QuickBooks instance via a webhook.
