Overview

Self-hosted Metabase analytics layer over the developer's CRM and payment-plan database — giving the sales director, finance team, and MD live unit-absorption, payment-collection, and handover-risk dashboards without a BI team.

The challenge

The finance team manually reconciled CRM sales data with a payment-plan spreadsheet to produce a monthly collections forecast, achieving only ±22% accuracy. There was no system to flag units at risk of missing handover milestones. The MD relied on verbal updates from project directors — a process prone to optimism bias that had led to two projects missing Dubai Land Department handover deadlines.

The solution

Our approach

We used Airbyte to sync the developer's Salesforce CRM and payment-plan PostgreSQL database into a warehouse schema, then built dbt models for unit absorption, payment cohorts, and handover milestone tracking. Metabase dashboards were embedded in the developer's internal intranet using Metabase's signed JWT embedding. A Metabase alert fires a daily WhatsApp message to the finance director listing any units where a payment instalment is more than 7 days overdue.

Outcomes

What we delivered

Collection forecast accuracy improved from ±22% to ±6% within 60 days

Handover-risk unit list automated — fires every Monday to project directors

Finance team monthly reconciliation reduced from 3 days to 4 hours

Zero DLD handover deadline misses in the 9 months since go-live

Client testimonial

“Before this we had no idea a project was going to miss a handover date until two months before. Now we see the risk six months out and can actually act on it.”
