Overview

Self-hosted Cal.com manages hot-desk, private-office, and meeting-room bookings across six UAE co-working locations; Supabase stores member profiles, access-control logs, and invoice records. Arabic-first member portal, Stripe subscription billing for membership tiers, and a Novu notification stack for access-card and invoice alerts. Desk utilisation rises from 48% to 79%; billing disputes drop 88%.

The challenge

Six locations each had a separate Google Calendar and a WhatsApp group for bookings, leading to double-bookings and no centralised view of utilisation. Membership billing was handled in Excel with manual bank transfers; disputes arose monthly when members disputed hours. UAE labour-camp inspection rules required access-log records that WhatsApp threads could not provide.


The solution

Our approach

We deployed Cal.com multi-location with one managed cal.com instance covering all six sites, each as a separate Cal.com team. Supabase serves as the member database with RLS policies separating Dubai and Abu Dhabi entities for accounting purposes. Stripe Billing subscriptions auto-generate monthly invoices; a Novu notification flow dispatches them via email and WhatsApp and fires a second reminder if unpaid after 7 days. Access-log events from smart-lock webhooks write to a tamper-evident Supabase audit table used for UAE MOL inspection reports.
