The challenge
With 1,200 staff across 8 active project sites, the client's procurement ran through a mix of informal WhatsApp approvals and an ERP whose licensing cost prohibited wider rollout. Shadow purchasing — orders placed outside the official workflow — was running at 23% of monthly spend, creating audit and project-budget risk.
The solution
We extended ToolJet's open-source edition with custom approval-chain widgets and a three-bid enforcement rule that blocks PO creation if fewer than three supplier quotes are attached. The portal integrates with the client's existing ERP via REST API for budget-lock checks, and all uploaded quote documents land in an on-premise MinIO bucket. Role hierarchy covers site engineer, project manager, procurement manager, and CFO.
